1. Flight information All package prices are based upon Gatwick departures; however, we are able to offer regional flights to most destinations. These regional flights are limited due to aircraft size and other operator’s demands for seats and may have a flight supplement; it is therefore highly advisable to book early if they are required. Setsail reserves the right to substitute different carriers and offer alternative flights at any time as may be necessary. Surcharges may be levied due to all or any government action. Airports or flight companies may levy surcharges after you have booked. These charges are beyond our control.
IMPORTANT – At the time of booking we will take details from you over the telephone. Therefore it is imperative that the crew details given are correct as this information is used when booking flights e.g. all Christian & Surnames must be as they appear in passports including correct spelling. NB: In some cases when flights are in high demand we may ask you to send an email to confirm your crew details so that we can book your flights before we are in receipt of your completed booking form. After which should you need to make any changes please notify us as soon as possible and be advised that this will incur a charge.
- Jet2 and BMI flights - Full payment will be required at the time of booking and no changes are permissible.
- Flight tickets - Some flights are now ticketless, therefore you will be sent either your flight tickets or the appropriate information 10-14 days prior to your departure.
- Hand luggage - Most airlines allow 5kg in a bag measuring 43cm x 28cm x 23cm. Please avoid packing liquids in your carry on as there are strict rules in place for security reasons. Note: Sharp items such as scissors are not allowed. For the latest information please check with the appropriate airline.
- Check-in - Our advice would be to arrive at the airport at least 3 hours prior to departure to allow enough time to park and take the shuttle bus to the terminal so that that you can check-in in plenty of time for your flight
- Flight timings – All flight timings are provisional and are subject to change. No changes are permissible to scheduled flight tickets after purchase.
- Hold baggage and in-flight meals - Not all airlines include 20kg hold baggage allowance and in-flight meals as standard. Please ask for details of optional extras. NB: All extras will come at an additional cost and apply to all persons on the booking.
2. Child discount - We offer discounted rates for children under 16 years travelling with a full fare paying adult. A £100 reduction off the basic holiday cost for children aged between 6-16 years, infants of 2-6 years on the date of departure are charged at the discounted rate of £500 per child and if the child is under 2 years and not occupying a flight seat the charge levied will be £70. NB. Child reductions are limited to one child per full fare paying adult and if the holiday has already been discounted the above reductions are not applicable.
3. Yacht Security Premium (YSP) on flotilla The premium of £100 per yacht which is added to your holiday invoice covers the insurance excess for any accidental loss or damage to the yacht and its equipment. This excludes damage arising from lines or other objects wrapped around the propeller/sail drive, or loss or damage to dinghies and outboards, for which a charge of up to £250 may be levied on each item. Also excluded from the insurance is damage arising from misuse or deliberate failure to take instruction from the base staff or Setsail lead crew.
4. Yacht Security Deposit (YSD) A yacht security deposit will be required at the time of embarkation for all bareboat charters. This deposit is fully refundable less any cost of loss or damages that you may have incurred and must be settled before you leave the base. Please refer to section 9 in booking conditions for more details.
5. Accidents Any accident which involves either a member of your party, the charter yacht, its equipment or your land based accommodation must be reported to a Setsail representative if on flotilla, the appropriate base manager or local agent and the Setsail UK office the same day, or as soon as is practically possible.
6. Holiday extras Outboards, cruising chutes & netting - Where these items are not provided as standard on board a yacht, they may be available for hire locally in the resort. Setsail will acknowledge the equipment requested on your booking form and advise whether it should be paid for locally or added to your Confirmation Invoice. A deposit may be required before the equipment is supplied, apart from netting, which can be provided for a non-refundable payment of up to £75, which is to be paid locally and on request only. Please inspect outboards and cruising chutes/spinnakers before accepting as you will be liable for any damage on return. Not all airlines include 20kg hold baggage allowance and in-flight meals as standard. Please ask for details of optional extras. NB: All extras will come at an additional cost and apply to all persons on the booking.
7. Water sports & excursions Where water sports and excursions are available within the resorts, bays and harbours Setsail neither owns or operates these facilities and cannot provide assurances that they are maintained or operated with customer’s safety in mind. Some water sports and excursions may also be considered to be 'hazardous pursuits' by insurance companies.
8. Embarkation and commencement of charter Upon your arrival at the yacht base you will either be met by a representative/agent or will have been advised to make your way to the base office. Embarkation is usually by 17:00 once the yacht has been serviced and cleaned. You will be required to carry out an inventory check to ensure that all is satisfactory. This is the time to report if you have found any defects or shortages so that, if necessary they can be rectified prior to leaving the yacht base, after which you may be required to sign a form accepting the condition of the yacht. Normally sailing commences by 14:00 the day after your arrival, once instruction has been given on the yachts operation, a briefing on the cruising area if on flotilla and all necessary port authority crew lists and administration has been carried out. Weather permitting and where possible, obviously those on bareboat charter may leave earlier after completing and checking the yacht’s equipment/sails etc. In the event that your yacht is not available for reasons beyond our control, i.e. damage, late return by previous charterer, we reserve the right to substitute a similar yacht, or if no yacht is available to provide accommodation in a hotel until such time as a yacht becomes available at our cost.
9. Disembarkation At the end of your charter you MUST return to the homeport by 17:00 (latest) on the evening before departure. Disembarkation is normally between 08:00 and 09:00 the following morning.
10. Itineraries In the case of flotilla holidays, our staff are responsible for the safe conduct of the cruise. They may vary the itinerary if, in their opinion, conditions demand it; for example, port facilities en route, weather, overcrowding, victualling etc. The typical itineraries shown in our brochure are fair examples of the cruises that will be run.
11. Special requests If you have a special request i.e. dietary, rigging, hotel accommodation type etc, please advise the UK office at the time of booking and we will do our best to ensure that it is met by passing it on to the airline/supplier. However no special request can be guaranteed. NB: Not all flight companies include an in-flight meal.
IMPORTANT- Most charter airlines will not accept minors under 16 years of age travelling unaccompanied.
12. Passports/visas All passengers should be in possession of a 10 year passport, which has at least 6 months validity after your return date of travel for all destinations mentioned in this brochure. British passport holders do not require a visa when travelling to the British Virgin Islands. However visitors from some other countries may require an entry visa. If you intend to visit the US territories this must be pre-arranged at the time of booking and you will be required to obtain a visa unless you are an American citizen. NB: It is your (the charterer’s) responsibility to ensure that the appropriate passports and/or visas required by the authorities are acquired, depending on your nationality to enter your destination country. For up to date information please contact the embassy, high commission or consulate of your destination country prior to travel.
13. Health If you or any member of your party have a medical condition or disability which may or may not affect your holiday please be sure to mention this before you confirm your booking so that we can advise as to the suitability of your chosen holiday. If in doubt, please consult your GP and then Setsail.
14. Vaccinations – British Virgin Islands Polio, Hepatitis A and Typhoid are recommended, however we would advise that you consult your GP for up to date information.
15. Learn to Sail - Turkey The courses described in this brochure are provided by Yuksel Yachting, Marmaris RYA sailing school. The school is responsible for the instructors and instruction provided on the learn to sail courses. The course syllabus, certification and itineraries sailed are at the total discretion of the principal of the school. You will be required to complete and sign a course/medical declaration form prior to departure. |
